Academic Program Specialist - Audiology

POSITION DETAILS

Brooklyn College of the City University of New York (CUNY) invites applications for an Academic Program Specialist for the Doctoral Program in Audiology (Au.D.) in the Department of Communication Arts, Sciences, and Disorders (CASD), with a starting date in Fall 2024. Reporting to the Chair and Program Director, the Academic Program Specialist coordinates the program's administrative tasks and serves as a resource for applicants, students, and faculty on program procedures and policies of the Doctoral Program. The Academic Program Specialist will be expected to work some days at the Graduate Center in Manhattan and some days at the Brooklyn College campus in Brooklyn each week during the first year of appointment and at Brooklyn College thereafter.

The doctoral program in Audiology leads students to the Au.D. degree, awarded by the CUNY Graduate Center in collaboration with Brooklyn College and Hunter College. The CUNY Board of Trustees approved the transfer of the degree granting authority from the Graduate Center to Brooklyn College. This transition is expected to take place in Fall 2025. The Audiology program prepares audiologists qualified for New York State licensure and national certification, who can provide comprehensive services to all individuals with hearing loss. Courses are offered at each of the campuses and clinical internship practical will continue to take place at the Speech and Hearing Centers located on the Brooklyn and Hunter College campuses and in the Audiology Suite located at the Graduate Center campus.

In addition to the CUNY Title Overview, typical duties include but are not limited to:

  • Assist with and manage both remote and on-campus needs for related program students, staff, faculty, alumni, and members of the public on a variety of tasks including telepractice, local and remote data management, mailing, scheduling, and web-based meeting and other platforms.
  • Responsibilities in budget/transaction processing, communications/customer service and documentation of administrative aspects.
  • Monitor and update the AuD program???s website in consultation with the PD and/or relevant faculty. Maintain the program???s Blackboard/Brightspace and related learning management systems sites, website and student digital files. Collect and post information to each site. Maintain and update databases for faculty, students, and committees.
  • Serve as liaison to various campus offices including admissions, financial aid, and fiscal offices, as well as to offices on peer campuses. Manage office records and organize information flow to and from the campus-based programs.
  • Maintain adjunct faculty personnel files, including certification documentation, new appointments, rank changes, and teaching and student evaluations.
  • Assist in planning, coordinating, and managing workshops, conferences, colloquia, and speakers' programs. Schedule meetings, including arranging for meeting space, audiovisual equipment, catering, and send out related correspondence.
  • Assist with accreditation reporting and visits, as well as periodic reaccreditation review by a variety of governing/auditing bodies.
  • Collect syllabi from all AuD faculty members and review to ensure compliance with Brooklyn College standards and post to the learning management system and/or other archival platforms. Support faculty in ensuring proper posting of textbooks and related information such as posting of grades, VOE, etc.
  • Assist the PD/APD and/or related program personnel in drafting and preparing documents to be presented to the various program and college committees and liaise with point persons at each committee level. Maintain databases to track affiliation expiration and/or related deadlines.
  • Work with the PD or designee in preparation and maintenance of student, clinic, and related handbooks. Update and maintain program recruitment materials.
  • Assist with the orientation and registration process for incoming and continuing students, and support alumni engagement.
  • Manage office supplies, including ordering and tracking equipment for the program, as well as overseeing office functions such as communications, meeting schedules, work plans, staff assignments, and information distribution. Participate in meetings as needed (in-person and/or remote).
  • Draft confidential reports, make administrative decisions regarding the compilation, storage, and scheduled destruction of program-related student, personnel, client, and research records, and manage faculty, staff, student, alumni, and client/patient data with confidentiality, while also collecting data, preparing, and distributing reports and presentations using word processing, spreadsheet, and presentation software.
  • Collaborate in the coordination of clinical schedules of students, faculty and staff from three academic programs: accredited Au.D Program in Audiology B.A. Program in Communication Arts, Sciences and Disorders, and the the M.S. Program in Speech-Language.
  • May supervise office staff and student workers.
  • Perform related duties as assigned.

QUALIFICATIONS

Bachelor's Degree and four years' relevant experience required.

Preferred Qualifications

  • Proficiency in Microsoft Word, Excel, and Adobe Acrobat, and be familiar with online administrative platforms and social media. Experience with CUNYfirst and Dropbox a plus.
  • Ability to communicate clearly with co-workers, students, staff, faculty, and community members across oral, written, and electronic platforms, while demonstrating high stress tolerance, flexibility, and a collaborative approach in a dynamic, busy department that serves a diverse range of individuals in the broader community.
  • Comfortable engaging people with disabilities who frequent the Center.
  • Excellent time management skills.
  • Experience working with budgets and numbers.
  • Ability to work at CUNY Graduate Center in Manhattan and at the Brooklyn College campus in Brooklyn.
